Zoom Room Coordinator Duties

We are still pulling together exactly how the Zoom Room would operate but this is what we have so far in terms of how it would work:

  • Classmates/Zoomers can purchase ($10?) a 15 minute time slot between 7 and 9 p.m. (after happy hour and buffet) - 8 slots available
  • If there is a lot of interest, we could add 2-4 more slots starting at 6 p.m. or 6:30
  • Zoomers can login to the Zoom Room whenever they want and stay as long as it is up but the fee guarantees them 15 minutes of priority speaking time.
  • The Zoomer must have an attendee willing to host the session during their 15 minute time slot
  • The DJ will announce who is in the Zoom Room, all Zoomers and their time slots will be printed on the program
  • Hopefully we can set it up (standing table away from wall?) so Zoomers and attendees can take a ‘group selfies’. We don’t want anyone touching/picking up the laptop for any reason – hosts will monitor that – but if classmates can easily get behind the laptop, the hosts could snap the photo – maybe a standing height table?

What the Zoom Room Coordinator will do:

  • Receive (or be forwarded) purchase notifications if classmates buy a 15 min. slot and assign the 15 time allotment (times will be assigned sequentially so if fewer than 8 people sign up we can shut the connection down as soon as the last 'Zoomer' is done
  • Communicate with the Zoomer to get
    • the name of who attending the banquet will be their host. The idea is that the laptop and connection will be monitored by a rotation of hosts so the coordinator is free unless there is a problemt
    • names of classmates they want to talk to (no guarantees)
    • provide  the Zoomer with the user/password login info
  • Ensure all the sessions hosts know:
    • what to do if the zoom call freezes or is dropped,
    • how to mute people if needed,
    • how to do group selfies with the zoomer
    • make sure someone is always with the laptop
  • Each Zoomer’s host will be responsible for making sure the connection is up and will do their best to ‘steer’ classmates the Zoomer wants to talk to - no guarantees and the host will stay with the laptop until the next host arrives and ensure that no one touches, picks up or moves the laptop.
  • Be availble to answer questions / solve problems and generally monitor that the process is running fully - not tied to the table - the hosts are for that - but have a way for a host to get your attention if they need it - text maybe?

This is subject to revision as we work through all the event details but is generally what we hope to do assuming:

  1. We find a coordiator (if not, this will not happen)
  2. We can set up everything to ensure the donated laptop is secure
  3. Classmates actually make the purchase.
